If your business uses Book4Time for Activities bookings, you can now enable a Waitlist feature.
This enhancement ensures that fully booked time slots still appear in the Member Portal’s availability search and allows members to join a waitlist, managed through the Book4Time admin.
How It Works
Without Waitlist Enabled:
Fully booked time slots do not appear when members search for availability.
Members are unaware of these time slots and cannot take further action.
With Waitlist Enabled:
Fully booked time slots do appear in the search results.
Members can select the time slot and will see an option to join the waitlist.
Waitlist management is handled directly inside the Book4Time Admin Dashboard.
How to Enable
Go to the Control Panel → Specific Scheduler Settings
Locate the Book4Time Waitlist Toggle
Switch the toggle ON to enable waitlist functionality
Save your settings
⚠️ Note: This applies only to clubs using Book4Time for activity bookings. Other modules or schedulers are not affected.
Admin Experience (Book4Time)
When a member joins the waitlist, their information is added to the corresponding time slot's waitlist queue in Book4Time Admin.
Staff can view, manage, and promote members from the waitlist as slots open up.
Member Experience
When a member searches for availability, they will see the fully booked slot with a waitlist tag
If the slot is selected, the UI will reflect that they are joining a Waitlist instead of booking the slot
