Update to Permissions and New Sensitive and Confidential Information Handling

We recently published an article with an overview of our current (now past) permissions. In this article we are highlighting the additions and changes to permissions.

We removed the "app" only permission in favor of adding more restrictions to the access levels. You'll notice that Standard User is now known as Supervisor with the same access as Standard User had. We then added Manager and Waitstaff to the available permissions which further limit access to sensitive and confidential data.

When these roles are applied, the data will be masked if the user does not have permission to it, as such:

This will continue throughout the platform where the user's information is visible.

In addition, the platform will prevent any updates they try to make towards sensitive or confidential data, for example the e-mail address is considered sensitive and therefore a Waitstaff user does not have the ability to see let alone edit this field.

We also updated the Notes section to keep certain notes as confidential. They are the ones that fall below the CONFIDENTIAL fold.

You can see how a Waitstaff user with limited access can't see the Customer Service Related note.

Whereas a user like a Manager is able to see it.

Same thing for transactions and financial related data. When requesting transactions, payments and overall spend, it will not be visible to Managers or Waitstaff.

Whereas a Supervisor, Admin or Account Rep can see full revenue.

You will also notice that most of the standard navigation and options are also gone based on the role selected.

Below is a list of items a specific role is unable to see according to our new updates (this does not include previous built/existing permissions):

Waitstaff Users
A Waitstaff user is recommended for Front of House staff that leverages the Peoplevine tools and platform to service your member or guest. They are unable to see the following items (in this release):

  • Sensitive Information Mobile Number Email Address 3rd Party Mappings Manager Notes

  • Confidential InformationBilling AddressPostal AddressConfidential Notes including Account-Related, Billing Related, Customer Service Related and Quality Related NotesRevenue, Billing Details and Invoices

Manager
A Manager user is recommended for typical Front of House managers who oversee the Front of House staff. They are provided access to sensitive information in the event they need to service a member more promptly. They are unable to see the following items (in this release):

  • Confidential InformationBilling AddressPostal AddressConfidential Notes including Account-Related, Billing Related, Customer Service Related and Quality Related NotesRevenue, Billing Details and Invoices

Please note that Admin's, Supervisors, Account Reps and API users will have access to the items Waitstaff and Manager Users don't have access to.
