Q: Where do I download the app? I can’t find it in the App Store.
A: Look for “Check-In App by Peoplevine” in the Apple App Store. If you don’t see it, just reach out and we’ll send you a direct link—our team will make sure you’re set up.
Q: Is this the same app as the original Check-In app?
A: Not exactly. You may see the older Guest Sign-In app alongside the new Check-In App by Peoplevine. The new app is where all innovation is happening—it’s designed for today’s hospitality needs and where we’ll continue to add features.
Q: Why is it only available on iPad right now?
A: Most clubs use iPads at the front desk, so we built for that first to ensure a smooth staff experience. Over time, our vision is to merge apps and extend support to iPhones as well.
Q: What iPad model do I need?
A: Any iPad running iOS 16.5 or higher will work. If your iPad can run the latest software, you’re ready.
Q: Can I use it on my Mac with M1/M2 chips?
A: Some users may be able to download it on Macs through the App Store, but today the app is officially designed for iPad.
Q: I’m in the UK and don’t see it in the App Store—what should I do?
A: The app should be available worldwide. If you can’t find it, let us know—we’ll confirm with Apple or send you a direct link.
Features & Functionality
Q: How many recent guests can I see in the app?
A: As many as you need. The app gives you a full list of recent check-ins with filters by date, location, or type (members, guests, all).
Q: Do bookings from integrated platforms appear automatically?
A: Yes. Integrations with systems like Book4Time, SevenRooms, and Opera OHIP sync in real time so your staff always has the latest information.
Q: Can we manually add outside reservations (like a museum or offsite booking)?
A: Absolutely. You can add external reservations manually so you have a complete picture in one place.
Q: Can I set the date for when a guest will arrive?
A: Yes. When creating a guest pass, you can assign an exact date and time for their arrival.
Q: Can I cancel a reservation through the app?
A: Yes, you can cancel or modify reservations directly in the Check-In App.
Q: Can I check in a guest without their name or email?
A: Yes. You can check in guests anonymously or add their details to start building a CRM profile for future personalization.
Q: Can we test check-ins and then remove those records?
A: The app itself doesn’t allow record deletion, but test check-ins can be managed and removed through the Peoplevine control panel.
Q: Can I check in a voucher or ticket without scanning?
A: Today, vouchers and tickets are designed to be scanned for security. Manual check-in may come in the future.
Q: Can I view an event attendee list and check in members from there?
A: Not yet, but it’s on the way. For now, you can scan tickets, and attendee list functionality is coming soon.
Q: Is the app only for staff, or can members use it too?
A: The app is a staff-facing tool designed for the front desk. Members use their digital cards or passes, while staff manage check-ins, notes, and profiles.
Q: Do permissions differ by staff role?
A: Yes. Permissions mirror your Peoplevine control panel. Admins see more, while staff users see what they need to do their job effectively.
Q: Can we control how many guests a member checks in at once?
A: Not directly in the app today. But guest pass limits can be enforced through Peoplevine’s settings.
Q: What happens if a member assigns a guest pass that isn’t used?
A: If a pass goes unused, it remains tracked in the system. Clubs can reissue or expire unused passes according to their policies.
NFC & Bluetooth
Q: How does NFC check-in work?
A: With NFC, members can tap their digital membership card (Apple Wallet/Android) or physical NFC card on a certified reader for instant check-in. This requires
Member Portal 3.0 and certified hardware.
Q: Do both digital and physical cards work?
A: Yes. Members can use either their phone’s wallet pass or a physical NFC card.
Q: Are guest passes NFC-enabled too?
A: Yes—with Member Portal 3.0, guest passes can also be NFC-enabled.
Q: Can Android users download NFC membership cards?
A: Yes. NFC passes work on both Apple and Android wallets.
Q: How much does NFC cost?
A: NFC is a premium feature that requires hardware, setup, and Member Portal 3.0. Pricing is being finalized and will be shared with you directly.
Q: Is there an extra cost for the Check-In App?
A: The app itself is included. NFC and hardware add-ons are optional upgrades.
Q: Why would I use Bluetooth for check-in instead of the camera?
A: Bluetooth scanners pair with the iPad to scan cards quickly and reliably—even if the app is minimized. It’s faster and more secure than camera scanning, though the camera still works for QR codes.
Events
Q: Can I scan event tickets with the app?
A: Yes. Event ticket scanning is live today, and attendee list check-in is coming soon.
Q: Can someone use a screenshot of a QR code to sneak in?
A: No. NFC and backend validation prevent screenshots from being reused. The system verifies each QR code against the database in real time.
Q: How do we avoid losing track of guest passes if they don’t expire?
A: All guest passes are tracked in Peoplevine CRM. Clubs can set expiration or reissue rules, ensuring no passes are wasted.
