Setup Access Rules with Public Descriptions in Seven rooms to Allow Members to Book Specific Areas
You can surface the type of reservation someone is booking by setting up access rules associated with public descriptions.
If you are looking to enable your members to choose from a variety of seating areas or services that you offer, you can do this by following these steps.
To set this up in SevenRooms they'll need to create specific Access Rules for each area, and then include a "Time Slot Description" within the Public Description section for each. You can do this by following the linked instructions below.
Once both of those are setup, Peoplevine should now be able to surface the individual availability with the timeslot descriptions.
Some Tips:
Why is there still availability after someone booked a time?
Looks like your access rule for the Parlor was pointed towards the Parlor Seating area, which contains tables 50-55. Therefore, if you only made one reservation, the time and date would still be available as there are additional rooms still available in the access rule. If you wish to offer reservations table by table, you'll need individual access rules for each.
How do I customize the confirmation email?
To customize the booking confirmation email to include the area, you can either update the Custom Booking Policy on the Access Rule side, or you can head to General Settings and choose "Seating Area" under the option fields to display:
Why aren't the slots showing up on my Member Portal?
Change the Audience in the Access Rule to PeopleVine instead of Reservation Widget. When set to PeopleVine, it will display in your member portal enabling your members a single sign-on experience, along with keeping it private to members only.
Why are members able to book anywhere?
Additionally, your deck access rule is not limited to the Deck Seating Area. In utilizing these separate public descriptions, it's important to route these to their specific areas:
Right now, without that restriction, reservations can be booked anywhere in the active floorplan.
Where do I see the area they selected?
You should be able to view the space they selected in the reservation notes.
How do I manage capacity?
Pacing on the shift is the source of truth--if you set pacing on the shift to 12, you cannot ever book more than 12 covers at any particular seating interval. If you change the pacing on the Access rules you can only ever decrease (ie only want to allow 8 covers to book online, leaving 4 covers bookable internally), you can never override the pacing set on the shift.
And the shift pacing covers all available seating areas.
