Our Family Billing feature allows a sub-member’s purchases, that are closed to invoice, to roll up to the primary member’s House Account for consolidated billing.

Our Family Billing feature allows a sub-member’s purchases, that are closed to invoice, to roll up to the primary member’s House Account for consolidated billing. Clients, via the control panel only, will be able to enable family billing per sub-member via the sub-member's membership details.

What happens when a sub-member has family billing enabled?

  • Any invoice generated on the sub-member's account will automatically be re-assigned to the parent member’s house account (unpaid balance).

  • Orders remain on the originating sub-member's account so that a client can track historical spend and activity per member vs. family membership.

  • When the monthly house account billing runs, all parent and re-assigned sub-member invoices will be charged to the parent’s payment method on file in one batch charge.

Important Note:

Sub-member charges do not use the primary member’s payment on file (card/ACH) at checkout (real time payments).

  • Roll‑up happens only when the Sub-member pays via House Account and an invoice is generated.

  • The primary member’s payment on file is used later when the primary member settles their House Account, per normal House Account settlement rules.

How to add a sub-member to a primary member’s house account billing:

To opt a sub-member into family billing, you will need to navigate to the sub-member's membership, click the Edit button, scroll down to the Sub Member Billing section, and Enable Parent House Account (via checkbox).

Enable Parent House Account is unchecked by default.

You will always need to manually enable this parent house account setting.

  • If checked → Sub-member’s House Account is enabled and all their charges route to the parent for billing.

  • If left unchecked → No routing to parent; we don’t modify the sub-member’s House Account.

Invoice Override in Admin Control Panel:

If the primary member doesn’t approve or doesn’t want to be charged for a specific sub-member transaction, an Admin can edit the transaction (invoice) and reassign the billed‑to member via the Control Panel:

  • Go to the Transaction in the control panel. Scroll to the ‘Customer’ section.

  • See: Payment Charged to Lucia Flores (in screenshot below)
    click [Remove] to detach from the primary member’s House Account. Then, assign the appropriate payer.

Important note: The Member Portal does not currently support Family Billing and is coming in the future.

The Parent Member can see invoices generated from their own personal orders.

  • Parent members cannot see invoices that were generated from their sub-member orders in the portal.

  • To view invoices generated by a sub-member order, the Primary member will have to review this in each sub-member’s portal (or) request a PDF statement from the club.

The Club can download a statement PDF from the control panel which will show both primary and sub-member invoices in one consolidated statement and send this to the member.

The Sub Member can see outstanding invoices in their portal that have been generated based on their personal order activity. They cannot see invoices generated from the parent or other sub-member activity.

The Sub Member will have the ability to view all Invoices on their Account and pay them. If a sub-member chooses to pay the invoice via the Member Portal - the payment will not be processed through the Parent Member but instead on the payment method from the sub-member's wallet - the transaction will be tied to the sub-member.
