Membership Perks

A perk is a voucher or stipend. A voucher is a special or deal that you offer your email subscribers. They are able to save the voucher to use at your property. A stipend is added to a membership which allows those who are subscribed to the membership to have a specified amount of spending money either one time or on a regular basis.

Create a Voucher

A voucher can be redeemed against an experience at your property and can be easily built using our Rewards engine. There are no limitations on the number of vouchers you can create. Before creating a voucher, please make sure that your appointments, reservations, event tickets or activities that you would like to redeem vouchers against, are created. To create a voucher:

  1. In the toolbar, click on Reward.

  2. Navigate to Vouchers > Digital Vouchers and click on Setup New Voucher

  3. Fill out The Basics. Be sure to select Voucher as your Pass Type. You can also add the Voucher Name, any Fine Print. These are the only required fields but if you would like to fill out more, keep scrolling!

  4. At the bottom of The Basics, you are able to either set an expiration date or keep the voucher active indefinitely. You are also able to delay the start date of a voucher for a certain number of days by unchecking the box "This is active for use now". If you would like to set a certain number of days a voucher is valid for, instead of the expiration date, uncheck the box next to "This is valid until the set expiration date" and choose how long you would like the voucher to be valid for.

5. Under the Settings section, you can do the following:

  • Keep this voucher in "Draft" or "Developing" by unchecking the box labeled "Activate pass for immediate use"

  • Allow users to send their pass to someone else by checking the box labeled "Allow user to send their pass to someone else"

  • Require that someone requesting to redeem this voucher fills out a survey and assign the proper survey.

  • Assign this voucher to a category, if you have set up categories

6. Under the Design section, you are able to change the look of the voucher. You can:

  • Select a color scheme, either your default or a new color scheme of your choice

  • Attach a graphic to appear on your physical pass. You can select a PeopleVine Standard Image or upload your own!

  • Attach a landing page graphic that will appear on the top of the pass information page.

  • Build your voucher page.

7. In the Marketing section, you are able to setup a URL keyword so users are able to visit a URL to access the voucher.

8. In the Redemption section, you are able to control how and when the voucher is redeemed:

  • Specify how a member would redeem the voucher. If you would like your members to be able to store the voucher in their Apple Wallet, you will want to choose "Scan with QR Code Reader". If you would prefer to use your venue app, you will want to choose "Use the Venue App..."

  • Limit the number of times a member can have this offer active at one time by putting a number in the field labeled "Maximum at One Time"

  • Limit the number of total vouchers that are distributed by highlighting the box called "Limited Amount" and adding a number in the field called "Limit"

  • Specify a code for your POS. This will appear below the QR Code or Barcode for the cashier at the register.

  • Specify the value of the offer.

  • Create a Redemption Pin that must be entered to redeem this voucher. This adds a layer of security to the process.

9. In the Only Valid For section, you can specify where a voucher may be used. For example, you can select that it can only be used on items that are in a certain category or at a specific type of appointment.

  • Remember, categories, appointments (Schedulers), reservation types and events must be created already before you can link the voucher back to them.

  • Once you have selecting what the voucher will be valid for, you will be presented with specific options that exist under each option, e.g. if selecting ‘Event Tickets’, you will be presented with a selection of events to choose from:

10. Decide if the voucher is redeemable by anyone (member and non-member); members only (you will be asked to select which memberships can access the voucher) or by admins only (you can push the voucher to specific individuals if you select this option.

11. If you'd like to be notified each time this voucher is purchased or used. Social Media posts work if you have integrated your Facebook and Twitter accounts to Peoplevine.

12. Once you have input the settings to your satisfaction click Create.

Manage Vouchers

To change settings for existing vouchers:

  1. In the toolbar, click on Reward.

  2. Navigate to Vouchers > Digital Vouchers and click on Manage Vouchers

  3. Find the voucher you would like to make changes to and click the edit button to the right.

4. Make your desired changes.

5. Click Update Voucher once finished.

Redeem a Voucher

There are two ways in which a voucher may be redeemed:

  1. Go to Reward> Redeem Voucher> enter voucher ID> click ‘Redeem’

  2. Go to the individual profile> under ‘Generated Passes, click ‘Redeem’ next to the correct voucher> select the location you are redeeming the voucher from or on behalf of> click ‘Redeem’ again.

In both instances, the voucher will be removed from further use.

View Recent Voucher Redemptions

Your finance or Accounting team may need to view redemptions to reconcile end of day banking. In the report, they will be able to view:

  • The time and day the voucher was redeemed.

  • The type of voucher that was redeemed.

  • The name of the guest or member.

  • The guest or member location.

You have the ability to void vouchers , which will generate a new offer on the persons account.

Add a Stipend to a Membership

You may like to give members a one-off or recurring stipend to use at your property. This is known as a ‘stipend’ and can be managed under the Reward engine.

  1. In the toolbar, click on Reward.

  2. Navigate to Memberships and click on Manage Memberships.

  3. Find the membership you would like to have a stipend and click the Menu button to the far right.

4. In the box labeled "Membership" located in the top left corner, navigate to the button that says "Manage Member Perks."

5. Click Add Perk. If this is the first perk you are adding for this membership you will not have to click Add Perk and can advance to Step 6.

6. Under "Which perks do they get?" select "Stipend"

7. You are also able to control the following in the settings:

  • The total number of stipends to issue

  • The frequency you want to issue this stipend (if you would like it to recur)

  • If these stipends should be issued to sub-members on accounts

  • The value of the stipend

  • The number of days or dates the stipend is available

8. Once you are satisfied, click Add.

Manage a Stipend in a Membership

  1. In the toolbar, click on Reward.

  2. Navigate to Memberships and click on Manage Memberships.

  3. Find the membership with the stipend you want to edit and click the Menu button to the far right.

  4. In the box labeled "Membership" located in the top left corner, navigate to the button that says "Manage Member Perks."

  5. Find the Perk you would like to Edit.

  6. Click Edit.

  7. Make your desired changes.

  8. Once you are satisfied, click Update.

Delete a Stipend in a Membership

  1. In the toolbar, click on Reward.

  2. Navigate to Memberships and click on Manage Memberships.

  3. Find the membership with the stipend you would like to delete and click the Menu button to the far right.

  4. In the box labeled "Membership" located in the top left corner, navigate to the button that says "Manage Member Perks."

5. Find the Perk you would like to Delete.

6. Click Delete. There will not be a warning after you click Delete so be sure you actually would like to delete it.

Issue a Stipend to an individual account

To issue a stipend:

1. Login to the PeopleVine Control Panel

4. Click on ‘sell a giftcard/ issue stipend’

5. Enter the name of the person you would like to issue the stipend to:

7. On the next screen, you will be prompted to select they type of reward you would like to give to them. Select ‘stipend’ as the certificate type. You have the option of entering an expiry date for this or you can leave blank if you would like them to be able to use indefinitely. If you would like to notify the individual of their reward, toggle on ‘Send an e-mail with certificate, balance and usage information’.

9. Now choose what the stipend/ reward can be used against and enter the amount you would like to apply to it:

11. Under payment information, click ‘enter’ as the option’ (unless you are charging them or another individual for this reward) and ‘process charge’)

13. Now if you go to the individuals profile, you will notice the stipend we’ve issued is now available as credit on their account:

Redeem a Stipend from an individual account

1. Login to the PeopleVine Control Panel

3. Here you can search by the voucher number (all giftcards and stipends have an associated voucher number, or search by person:

5. Find the individual and continue.

6. The next page will show you the stipends/ vouchers they currently have available. In some instances, an individual may have been rewarded numerous times. Select the gift certificate you would like to redeem.

7. Enter the amount you would like to redeem. This can be a partial amount or the full amount available:

9. Once you’ve entered the desired amount, click ‘redeem’.

10. The individual profile will now be updated with the remaining amount (if any):

12. You will now see the redemption appear in your transaction report, under the category ‘giftcard.
